Printer Says Offline? Work Through This Checklist
A printer can be powered on and still appear offline. These checks help reconnect it without downloading questionable driver tools or changing every setting at once.
Quick answer
Make sure the printer is awake and has no paper, ink, door, or jam warning. Then confirm the printer and the device you are printing from are on the same Wi-Fi network.
Try these checks in order
Clear any message on the printer
Read the printer screen or warning lights. An open door, paper jam, empty tray, low ink policy, or paused job can make a connected printer appear unavailable.
Confirm both devices use the same Wi-Fi
A computer on the main network may not see a printer on a guest network or an old router name. Check the Wi-Fi name on the printer and computer.
Restart the printer and computer
Turn the printer off with its power button, wait 20 seconds, and turn it back on. Restart the computer or phone as well, then try one small test page.
Check the print queue
Open the printer queue and remove only jobs you no longer need. Make sure Pause Printing or Use Printer Offline is not enabled. A single stuck job can block everything behind it.
Remove and add the printer again
Use the built-in Printers settings on Windows, macOS, iPhone, or Android. Remove the unavailable copy, then search for the printer again while both devices are on the same network.
Use the manufacturer's official support page
If a driver is required, download it only from the printer manufacturer or the operating system's built-in update tool. Avoid pop-ups and third-party driver download sites.
Stop troubleshooting and get the right help if:
- The printer makes grinding sounds, smells hot, leaks ink, or has a jam you cannot reach without disassembly.
- The printer contains business or personal documents you should not expose while troubleshooting.
- You see several duplicate printers and are unsure which queue or network address is correct.
