Printer Not Connecting to Wi-Fi?
Try This First.

A printer that won’t connect to Wi-Fi is one of the most common tech frustrations — and one of the most fixable. Before you call anyone or consider buying a new printer, work through these steps. Most cases are resolved in under 10 minutes.

Before You Do Anything Else — Restart Both Devices

This resolves a surprising number of printer Wi-Fi issues. Restart your printer completely (power off, wait 30 seconds, power back on) and restart your router (unplug for 30 seconds, plug back in, wait 2 minutes). Then check if the printer reconnects automatically.

If it does, you’re done. If not, continue below.

Common Reasons a Printer Won’t Connect to Wi-Fi

1. The printer lost its Wi-Fi settings

Printers store Wi-Fi network information internally. If your router was restarted, replaced, or if your Wi-Fi password changed, the printer’s saved settings no longer match your current network. It will appear to be trying to connect but will fail every time.

Fix Run the wireless setup wizard on your printer. On most printers this is found in the printer’s menu under Settings → Wireless → Wireless Setup Wizard. Follow the steps to reconnect to your current Wi-Fi network.

2. The printer is connecting to the wrong network

If you have more than one Wi-Fi network at home (2.4GHz and 5GHz, or a separate guest network), your printer may be trying to connect to a different network than your computer or phone is using.

Fix Check which network your printer is connected to in its wireless settings. Make sure it matches the network your computer is on. Most printers work best on the 2.4GHz network.

3. The printer is too far from the router

Like all Wi-Fi devices, printers need a strong enough signal to maintain a reliable connection. If the printer is in a back room or far from the router, it may connect intermittently or not at all.

Fix Temporarily move the printer closer to the router to test the connection. If it connects reliably when closer, signal strength is the issue.

4. The printer’s IP address changed

Some printers use a dynamic IP address that can change when the router restarts. Your computer may be trying to find the printer at the old address.

Fix Remove the printer from your computer and add it again. On Windows: Settings → Bluetooth & devices → Printers & scanners → Remove → Add device. On Mac: System Settings → Printers & Scanners → Remove → Add Printer.

5. The printer driver needs updating

Outdated printer drivers can cause connection failures, especially after a Windows or macOS update. Visit your printer manufacturer’s website and download the latest driver for your printer model.

Step-by-Step Fix (Start Here)

  1. Restart the printer — power off, wait 30 seconds, power on
  2. Restart the router — unplug 30 seconds, plug back in, wait 2 minutes
  3. On the printer, go to Settings → Wireless → check connection status
  4. If not connected, run the Wireless Setup Wizard on the printer
  5. Select your Wi-Fi network name and enter your password
  6. Wait for the printer to confirm it’s connected
  7. On your computer, try printing a test page
  8. If still not working — remove the printer from your computer and re-add it

When to Call for Help

If you’ve worked through these steps and the printer still won’t connect, the issue is usually one of a few things: a deeper configuration problem with your network, a printer that needs a factory reset, or a driver conflict on your computer. These are all fixable — they just take a bit more time to diagnose properly.

A tech visit can typically resolve any printer connectivity issue in a single visit. We also leave you with printed notes on your exact printer setup so you know what to do if it happens again.

Frequently Asked Questions

Why won’t my printer connect to Wi-Fi? +
The most common reasons are: the printer lost its Wi-Fi settings after a router restart or network change, the printer is trying to connect to the wrong network, or the printer’s wireless setup was never completed correctly. Restarting both the printer and router and running the printer’s wireless setup wizard again resolves most cases.
My printer connected before — why did it stop working? +
This usually happens after a router restart, a new router installation, or a change to your Wi-Fi password. The printer still has the old network settings saved and can no longer connect. You’ll need to run the wireless setup on the printer again to reconnect it to your current network.
Why does my printer say offline even when it’s on? +
A printer showing offline is almost always a connectivity issue — the printer has lost its connection to your Wi-Fi network, or your computer is looking for the printer on the wrong network. Restarting both devices and checking the printer’s Wi-Fi connection status usually resolves it.
Do I need to reinstall my printer if it won’t connect? +
Usually not. Most Wi-Fi connection issues are resolved by rerunning the printer’s wireless setup — not by reinstalling software. If the wireless setup doesn’t work, removing and re-adding the printer on your computer is the next step before a full reinstall.
